Qlink Terms and Conditions

These Terms and Conditions (the “Terms”) govern access to and use of Qlink’s websites, web platform, mobile applications, and related services (collectively, the “Services”), offered by Qlink CR S.A., a company based in San José, Costa Rica (“Qlink,” “we,” “us,” or “our”).

By creating an account or using the Services, you confirm that you have read and accepted these Terms and our Privacy Policy. If you use Qlink on behalf of a business, you represent that you have authority to accept these Terms for that business.
1. Purpose of the Service
Qlink is a business management platform that, depending on the selected plan, helps manage inventory, products, sales, purchases, customers, suppliers, users, branches, documents, and operational analytics.
Qlink is not a bank, a processor for the customer’s own sales payments, an accounting firm, or a tax or legal adviser. Commercial invoices or receipts generated by the platform are not electronic or tax invoices valid in any particular jurisdiction unless Qlink expressly says otherwise. Profitability indicators are operational calculations—such as gross product margin—and do not replace financial statements or professional advice.
2. Eligibility and accounts
You must be at least 18 years old and have legal capacity to enter into a contract. When registering, you agree to:
- provide true, complete, and current information;
- keep your credentials confidential;
- configure users, roles, and permissions appropriately;
- remain responsible for activity through your account unless you promptly report unauthorized access;
- use the Services in accordance with the law and these Terms.
The primary account represents the business and can manage other users’ access within the selected plan’s limits. Each user must use individual credentials; passwords must not be shared.
3. Plans and limits
Qlink offers Free, Growth, and Pro plans. Current prices and features appear in the pricing section and are shown before a purchase is confirmed.
- Free: no recurring fee; up to 100 customers, 100 products, 50 sales per month, 20 purchases per month, 1 user, and 1 branch.
- Growth: up to 1,000 customers, 1,000 products, 500 sales per month, 100 purchases per month, 3 users, and 1 branch.
- Pro: unlimited customers, products, sales, purchases, users, and branches, subject to reasonable use and the Service’s technical capacity.
Total limits apply to the account’s active data as a whole. Monthly limits reset at the beginning of each monthly period defined by the Service. Qlink may prevent new actions that exceed a limit but will seek not to interrupt an action already in progress. Existing content is not automatically deleted if it exceeds a lower plan’s limits after a downgrade, although some actions may be restricted until usage is reduced or the plan is changed.
Each plan’s specific features form part of the offer shown at checkout. We may add or improve features at no additional cost. If we remove an essential feature from a current paid plan, we will provide reasonable notice and honor the rights available under the law.
4. Pro trial and transition to Free
New accounts may receive a 14-day Qlink Pro trial without a card when this is shown during registration. If no paid plan is purchased by the end of the trial, the account moves to the Free plan. Data remains in the account, but features or actions that exceed Free plan limits may be restricted.
A promotion may be subject to additional requirements disclosed before activation and may be limited to one trial per person, business, or account. Qlink may prevent repeated or abusive use of promotions.
5. Subscriptions, renewals, and payments
Growth and Pro are recurring subscriptions available with monthly or annual billing. The price, currency, applicable taxes, period, and total are shown before payment is confirmed. Published prices are in US dollars (USD) unless another currency is stated.
By subscribing, you authorize Qlink and its payment provider to charge the applicable amount at the beginning of each period and automatically renew the subscription for equal periods until cancellation. Payment processing is also subject to the payment provider’s terms.
The price of a subscription will not change during a period that has already been paid. We may change future pricing with reasonable advance notice. If you do not accept the new price, you can cancel before the next renewal.
If a payment fails, we may retry the charge, request an updated payment method, and limit or suspend paid features. If the subscription is not brought current, the account may move to the Free plan and its data will become subject to that plan’s limits.
6. Cancellations, plan changes, and refunds
You may cancel renewal through the options available in your account or by contacting hola@qlinkcr.com. Cancellation must be requested before the renewal date and takes effect at the end of the paid period. Access to the selected plan continues until then.
Unless applicable law requires otherwise or a different written offer applies, periods that have already started are nonrefundable and are not prorated. This rule does not limit the right to request corrections for duplicate or incorrect charges, demonstrable failures to provide the Service, or other non-waivable consumer rights.
Upgrades may generate a charge or adjustment shown before confirmation. Downgrades generally take effect at the end of the current period. Before downgrading, the customer should review the new limits and export any information it wants to keep.
For billing claims, email hola@qlinkcr.com with the account and transaction details. Do not send full card numbers or security codes by email.
7. Customer data and content
The customer retains ownership of the information it records in Qlink. The customer grants us a limited, nonexclusive authorization for the life of the account to host, copy, back up, transmit, and process that information solely to provide, protect, and improve the Services, follow valid instructions, and comply with legal obligations.
The customer is responsible for:
- the accuracy, quality, and legality of uploaded information;
- having permission or another legal basis to process data about customers, suppliers, team members, and third parties;
- handling those people’s rights when applicable;
- retaining any copies or exports required for its business;
- not uploading illegal, infringing, or unrelated content.

8. Acceptable use
You may not use the Services to:
- violate laws, intellectual property, privacy, or other third-party rights;
- introduce malware, exploit vulnerabilities, or interfere with security or availability;
- access accounts, systems, or data without authorization;
- bypass plan limits, access controls, or payment mechanisms;
- reverse engineer, copy, or scrape the Service except to the extent expressly permitted by law;
- resell, sublicense, or make Qlink available to third parties as your own service without written authorization;
- send spam or fraudulent content or carry out activity that creates a disproportionate load.
We may investigate possible violations and take proportionate action, including limiting or suspending access. When reasonable, we will provide notice and an opportunity to correct the issue before suspension, unless there is a security risk, fraud, harm to third parties, or a legal obligation to act immediately.
9. Intellectual property
Qlink and its licensors retain all rights in the software, design, trademarks, documentation, and Qlink-owned content in the Services. These Terms grant a limited, nonexclusive, nontransferable, and revocable license to use Qlink while the account remains active and in accordance with the selected plan.
If you send suggestions or feedback, we may use them to develop and improve Qlink without an obligation to compensate you, but we do not thereby acquire ownership of your business’s operational data or content.
10. Third-party services
Qlink may integrate with payment, storage, authentication, spreadsheet, commerce, or other external services. Use of a third-party service may be subject to its own terms and policies. We do not control its availability or changes, but we select and manage our providers using reasonable security and operational criteria.
11. Availability, maintenance, and changes
We work to keep the Services available and secure but do not guarantee uninterrupted or error-free operation. Maintenance, updates, network failures, force majeure events, or third-party incidents may occur.
We may correct errors and modify the Services to improve security, performance, or legal compliance. We will seek to provide advance notice of scheduled maintenance or material changes that significantly affect the customer’s contracted use.
12. Suspension and termination
The customer may stop using Qlink and request account closure at any time. Qlink may suspend or terminate an account for a material violation of these Terms, nonpayment, fraudulent or illegal use, a security risk, or a request from a competent authority.
Except in urgent situations or where notice is prohibited by law, we will seek to explain the reason and allow a reasonable opportunity to correct the issue before terminating an account. Before closure, the customer must export any data it needs. After termination, we will retain or delete information according to the Privacy Policy and applicable legal obligations.
13. Warranties and liability
Qlink provides the Services with reasonable care and according to the features offered. Without affecting mandatory warranties or rights, the Service is provided subject to availability and may contain limitations or errors.
The customer is responsible for reviewing data, documents, calculations, and decisions made using Qlink and for meeting its own commercial, tax, employment, and data-protection obligations.
To the fullest extent permitted by law, Qlink will not be responsible for indirect damages, lost opportunities, or lost profits that were not reasonably foreseeable. Where liability may legally be limited, Qlink’s total liability related to a paid plan will not exceed the amount the customer paid during the six months before the event giving rise to the claim.
These limitations do not apply where prohibited by law and do not exclude liability for willful misconduct, gross negligence, or non-waivable consumer rights.
14. Consumer protection
Nothing in these Terms limits non-waivable rights under applicable law. Before a subscription is completed, Qlink will clearly disclose its essential features, price, billing frequency, renewal, and cancellation process, in accordance with Costa Rica’s Law No. 7472 on the Promotion of Competition and Effective Consumer Protection and its applicable regulations.
15. Changes to these Terms
We may update these Terms for legal, technical, or commercial changes. We will publish the current version and effective date. For material changes affecting an active subscription, we will seek to give notice by email or through the Service before they take effect. Continued use after that date constitutes acceptance, without affecting the right to cancel or any applicable non-waivable rights.
16. Governing law and disputes
These Terms are governed by the laws of Costa Rica, without affecting mandatory rules that protect a user in another jurisdiction.
Before using a formal process, the parties will seek to resolve any claim in good faith. You can contact hola@qlinkcr.com. If no resolution is reached, the dispute may be submitted to the competent courts of Costa Rica or the appropriate administrative authority. This provision does not prevent a consumer from using any jurisdiction or authority available under applicable law.
17. General provisions
If a provision is invalid or unenforceable, it will be adjusted or severed only to the minimum extent necessary without affecting the remaining provisions. A failure to exercise a right is not a waiver. The customer may not assign its account or these Terms without Qlink’s prior consent; Qlink may assign them as part of a reorganization, merger, or sale, with notice when appropriate.
These Terms, the Privacy Policy, the accepted plan offer, and any specific conditions shown at checkout constitute the agreement governing use of the Services.
